Job Description – Administration Assistant


Wing’s Technical Services Limited is a progressive and fast-growing company specialising in Facilities Management. With over 25 years of experience in the industry, we are known for delivering reliable, compliant, and cost-effective Mechanical, Electrical, Fire & Security, and Building Services to a wide range of clients across the South of England.

Due to continued growth, we are looking to recruit an organised and motivated Administration Assistant to support our expanding office team.

This role will involve providing administrative support across multiple departments within the business, assisting with day-to-day office operations, client communication, and supporting the technical team with documentation and scheduling.

The position will be based at our office and will involve working closely with the operations, compliance and technical teams to ensure the smooth running of administrative processes.

In this role you will be enthusiastic, organised, and methodical with a strong attention to detail.

You will be working within a fast-paced office environment where workloads can vary throughout the day. The successful candidate will need to be able to manage tasks efficiently while maintaining a high level of professionalism and customer service.

• Able to prioritise workloads and manage multiple tasks effectively

• IT competent and confident using office software and internal systems


Key Responsibilities


As an Administration Assistant at Wing’s Technical Services, you will support the office and technical teams with a variety of administrative tasks to help ensure efficient day-to-day operations.

Typical duties will include:

• Providing administrative support to office and technical staff
• Answering telephone calls and assisting with client enquiries
• Communicating with clients via phone and email
• Updating and maintaining records within the company CRM system (ideally Joblogic)
• Assisting with job scheduling and documentation
• Preparing and organising company paperwork and electronic records
• Supporting the preparation of reports, documents, and internal paperwork
• Assisting with general office administration tasks as required
• Maintaining accurate records and ensuring documentation is filed correctly
• Supporting the wider team with general office duties when required


Minimum Requirements and Skills


Ideally, candidates will have previous administrative experience within a busy office environment.

Minimum requirements include:

• Ideally 3 years’ experience working within an administrative role
• Excellent communication and customer service skills
• Strong organisational and time management skills
• Good level of education (GCSE or equivalent)
• Computer literacy including Microsoft Word and Excel
• Exceptional attention to detail
• Ability to follow procedures and company policies
• Ability to work independently as well as part of a team
• Professional and well-presented manner

Experience with a CRM system such as Joblogic would be beneficial but is not essential.


Pre-Employment Screening


Due to the nature of the work undertaken, confirmation of employment will be subject to a number of pre-employment checks once an offer has been accepted.

These checks will include:

• Employment references covering the last 5 years
• Proof of identity
• Proof of address covering the last 5 years
• Personnel Vetting credit search (which will only highlight insolvency or County Court Judgments)
• Enhanced DBS check (formerly Criminal Records check)

Should any adverse information arise during the Personnel Vetting search, any offer of employment may be withdrawn.
